
Once the data is entered (and there are a number of ways to make this quick and easy, including personalized drop down lists, the use of saved templates, and cloning of similar jobs) the information is used to communicate with the customer and internally with production, eliminating redundancy, while preserving accuracy. Everybody is on the same page. (And that page sports your brand!)
The documents that JOBZ! produces are automated. That is, PDF’s are created and attached to emails that are automatically addressed to the intended recipient. The PDF’s are named and saved on the user’s computer for later reference. Internal documents are also presented in the body of the email as plain text for copy/paste into other systems.
Customer Communications
Once the information has been entered, documents appropriate to the job’s status can be sent to the customer. These documents are created as PDF’s with a single click, and using your own email application, a new message is created, addressed to the intended recipient, and the PDF is attached. All you have to do is click Send. The branding is all yours, including the ability to select sister company graphics. Here are just a few of the many options:

Internal Communications
These are the key internal documents that can be produced from JOBZ! and which communicate the same information that the customer is receiving (plus some internal-only instructions) to Estimating and Production. Again, all by emailed PDF.
- Request for Estimate (The “RFE”)
- Dummy Request (Can also be titled otherwise, such as CAD Request, etc.)
- Sales Order to Production (The “SOP.” Includes the Delivery Instructions that can also be produced separately.)
- Author’s Changes to Production (Option to include only those items not yet “done”)
- Billing Instructions (With Commission Payment form)
